Hello Toast Community,

My name is Matt and I’m the owner of Grillbird located in Seattle, WA! I switched to Toast Payroll over 2 years ago and it’s been a really easy experience for us. I (and my CPA) was hesitant at first to make the switch, but we've never had any issues and it's made so many aspects of payroll from onboarding to making adjustments so much easier. What did you use before switching? We're currently on Gusto and have liked it pretty well, but are considering Toast payroll.

Honestly I don't remember as our CPA handled everything, but the old fashion way...there was no online onboarding, no dashboard for managing employees, etc...We would scan W2's and I9 forms and email them to be onboarded.

Am online payroll provider is better than the manual way for sure, however you gain some ease of use with it already being integrated into Toast, time entries and tipping - it's all connected and seamless.

I am a new employee trying to learn Toast. Are there any equivalents to the learning paths in Toast Classroom, but using text and pictures, and not the long videos? I've found the technical documentation, but those are far too long. I am looking for basic tutorials on subjects like Toast Web and maintaining/adding-to Menus and Kiosks.

I am in the process of switching and come from Homebase. The process so far has been streamlined! Toast handles everything and has walked me through different stages. Patience has been all I needed, process is 3-4 weeks. I go Live November 8th. I opted for basic Sling (free) instead of Pro and am happy so far. Saving about $100 a month after free promotional that ends in April 2025.

In Toast Payroll are you using the recruitment portion and the TAFW? I'm interested in your experience using those aspects.

We're not currently using the recruitment features as we're just one small shop right now, and recruitment usually happens more from word-of-mouth, however this feature is super comprehensive and in a restaurant with a lot of positions and turn over, I can see this being really useful.

As for TAFW mainly using sick pay adjustments, this is easily handled when processing payroll. Each employees sick pay accrument is on their profile (Time Off) and can be viewed and implemented to payroll. You may see two buckets of sick pay, "Sick" and "Carry Over" and both can be used interchangably as needed.

Double check that when you record sick pay during payroll that it is deducting from TAFW totals. We onboarded in January and this was not set up correct by Toast onboarding. Support explained to me that employees were supposed to log in to their payroll profile and request sick time, then me to approve it for payroll for it to go against their TAFW balance. We do not have employees do that. Instead, they request it directly from their manager who then forwards the request to me for processing. I had to go back for the last 11 months and manually adjust each employee that has been paid sick time. We have 100+ employees. Check your settings

I'm not an owner but I process the payroll for a couple restaurants, the way we have tip-out running is through percentages of sales (bar/foodrunner/barback), I'm assuming that many other places run this way as well. When switching to toast is there a streamlined feature that either does this for you or can be easily implemented?

We do a tip pool system but there are endless ways to configure tip outs in almost any configuration you can think of. It's very comprehensive and likely you'll find a tip out solution that fits your business.

What is the deadline for direct deposit? I pay weekly and I find it a problem.

Also when you pay direct deposit does it pull taxes due and payroll in the same withdrawal?

Hi, I am considering to connect my wine app to toast, i heard from my wine support that i can put in wine bottle numbers and location where i store(such as wine cellar 1, 2,3) I found how to put in numbers of bottles, but if you know where i can input where each bottles are located. I think it'd be the same for other ingredients...

Toast has an add-on feature to payroll called “tip management” and it does exactly like you’ve described. It’s the only part of Toast we haven’t had any problems with lol… I love it. We run a full service restaurant with varying tip outs as a percentage of sales from the servers to the support staff. It can be personalized really well. We’re using it at 3 restaurants that all have a different tip out policy and different positions.

Typically the deadline for submitting payroll is Wednesday afternoon, assuming you're on a Friday payday. Also generally, direct deposit and taxes are pulled a day apart but not always. In our case if we run payroll on a Tuesday then DD comes out the next day and taxes come out a day after that but we have seen them come out together if we submitted late on Wednesday.

Are you able to share any specific examples of the reports that can be generated in the Payroll platform? For example, The payroll Summary report, Journal Entry?

What do your true payroll costs run? I currently use Homebase and it's very affordable at $39 + Per employee. I don't have options of leaving notes on timecards or my schedule, without paying another $60. Do you have these options with TP?
