HELP WITH HOUSE ACCOUNTS

 Looking for guidance, we currently have a payment method set up called a house charge, if a private event guest needs time to pay for an event or if a payment method fails the day of waiting on check form company etc...

This policy preceeds me but i believe it is in place so that they can close out the day. the steps that follow are the parson handling this payment will go in to the check on the day of the event, void the house charge and remit with updated payment. Good news the check stays attached to the day it was created, bad news is this is showing up as sales for the current day and messing up our taxes and reporting.

 

Should these events be set up as house accounts? Can we use toast to create event invoices that will allow us to track deposits made, deposits redeemed, and final payments that attaches all of these payments to an event rather than showing as active sales on the days they are paid.

EX( Wedding on June 20th. Paid deposit in Jan that was redeemed that day of and when trying to pay the balance the card declined, to close out that day is was paid "House charge" and closed, June 25the the check was reopened the house charge voided and the balance due paid by new credit card and closed. so sales for 20th show payment method changed and my z report for today also showed the Credit card payment as sales for today even though it was not.

My thoughts are the house account allows charges to be tracked, deposits applied and final balances paid invoiced and tracked in the background keeping all money attached to an event rather than mixed into daily sales.
