Hello,
Can someone please explain the difference between closed and disqualified in Toast Catering order status and when it would be appropriate to use one or another?

Mark an order as "Closed" to signify that is fully paid for. This will happen automatically if payment for that order is accepted thru the regular payment flow.
Mark an order as "Disqualified", usually while it is still a lead, to signify that you are unable to fulfill it, either based on time conflicts or other needs you can not accommodate.
