Hey Community!
Discover Restaurant Cash Handling Tips: Troubleshooting Cash Drawer Discrepancies, and More!
💼 Cash Drawer Discrepancies:
- End-of-Day report: Check the Cash Drawer column for misassigned payments. Look for payments that didn't go to a drawer but should have, or vice versa.
- Cash Drawer History: Examine employee transactions, and verify tip-outs and payouts. Ensure all actions are correctly recorded for each cash drawer.
- Shift Report: Review expected deposits and ensure all employees have properly closed their shifts to avoid incomplete shift reviews causing cash discrepancies.
💰 Fix Cash in Drawer / Cash in Hand:
- Device Setup: Select the right receipt printer to match the cash drawer you want the cash reported to.
- Open Cash Drawer: Confirm the setting is correctly configured to open the cash drawer automatically when cash payments are taken.
- Incorrect Cash Payments: Use the Sales Summary Report to identify cash payments incorrectly reported. Void the payments on the POS and re-add them from the appropriate device with the correct cash drawer settings.
🗝️ Cash Drawer Not Opening:
- Device Setup: Check the Open Cash Drawer option - make sure it's set to "Yes" to avoid any locked cash drawers.
- Cable Connection: Securely connect the cash box to the printer with the telephone cable. A loose connection can cause drawer issues.
- Printer Check: Ensure the attached printer is online and functioning properly. If settings seem correct but the problem persists, the printer might need attention.

I love blind counts and I would suggest that goes at the top of the list.
At the end of the night, the manager counts the drawer and creates a deposit with the difference of the target drawer amount (It can be any established amount equal to what you start with--usually $200 for me) and the actual amount in the drawer. If there is $550 in the drawer, the deposit is $350. I like it best when the manager does not know what the deposit should be. It makes it very easy for me to find and solve discrepancies this way. If it is done with a witness when shift changes occur, discrepancies can be further narrowed.

I’ve looked high and low for a cash drawer cable pin out. My old cash drawers have an RJ-12 port like printers but the newer (toast supplied) drawers have RJ-45 sockets. I see cash drawer cables for sale but can’t see the pinouts (wire configurations). I called the cash drawer company and they escalated the call (returned the call this morning with an answer). So I could have waited 24 hours for instructions or order a cord from Amazon to arrive Monday OR figure it out myself. Of course I needed the cord immediately. For efficiency, it seemed ideal to take a cat 5 cable and modify it by replacing one end with a RJ-12 connector (easily accessible now from Home Depot or wherever) but there are simply no instructions so after my own research, I thought it useful to provide them here. I hope this helps someone with the same issues!
using one standard catV as a donor (white/orange, orange, white/green, blue, white/blue, green, white/brown, brown), I added to my RJ-12 to the other end (white/orange, green, white/green, white/brown, white/blue, orange—blue and brown unused) and this worked great. Maybe there is an engineer who can tell me this is wrong and correct it but if you need a cash drawer cable in a pinch, this worked for me!
