Accepting Local "Downtown Dollars" currency

Hey all,

Trying to handle a cash tracking issue that has come up for us. Our shop is located in a downtown area, and there is a "Downtown Association" that helps to promote and encourage business in the area. One of the ways they do this is sell "Downtown Dollars', which is like a local currency that most stores downtown accept. 

The "Downtown" bills only come in $10 increments, and kind of work like a voucher. We accept them like cash, and then redeem them for real money from the downtown association.

My issue is that I don't know how to allow Toast to accept this type of currency in practice. We have it set up as an alternate/manual payment method, but it's not treating it as a "cash-like" payment method.

Here's the primary example. A customer orders a pizza and the total comes out to $32. They hand our cashier $40 in Downtown Dollars. Our staff hit Pay, and then tap "Downtown Dollars" as the payment method. However, this only charges $32 to the payment method. The staff member was given $40, and now needs to give $8 in change. We give out change in regular cash. There's no way to basically say "Accept $40 in Downtown Dollars, and -$8 in cash". Now, my drawer is off by $8, and my book balance for Downtown Dollars are also off by $8 in the other direction.

Is there some way to make this work? I assume this scenario isn't super unique as lots of small areas do this kind of thing. How do you all handle it?

Alternate payment methods is what you want, but unfortunately alternate payment methods can't be entered in amounts higher than the total. It would be great if they were able to, and then just result in a negative balance due that is cash refundable. Here's a possible workaround:

Enter in the order in total. Let's say it's $18.67 and they give you $20 in "Downtown Dollars,"

  1. Close it out as $20 Cash, then take note of the change amount. If your staff is good with math they can skip cashing out and just note the difference.
  2. Pull the check up again, and add an Untaxed Open Item for the Change/difference amount you noted in Step 1. In this case it would be $1.33. This is just on the check temporarily.
  3. The total should now be $20 even.
  4. Void the existing cash payment (if you did this in step 1) and close the check out to Downtown Dollars instead.
  5. Pull the check up again, void the Open Item you just added, and now you have a negative balance due for the change/difference amount.
  6. Perform a cash refund on the check for the negative balance due.

I think this process checks out. A bit tedious I must admit. Let me know if it works for you!
