I have a breakfast/brunch QSR concept in Houston that is almost 9 years old. I have been using Toast Payroll for many years now, starting with my first location, and now we have grown to three with around 70-80 employees. It can be a lot, but I feel that Toast has made payroll pretty simple compared to a lot of other systems. I love that it's already integrated with our POS and has everyones timecards ready to process. That saves such a huge headache for us. There is still a bit of work for me to do, but I feel that Toast has really given me so much time back and I only have to spend an hour or two a week processing for the whole company. I used to spend hours and hours transferring the timecards/tips to other companies to process.
Every Monday I go through each location and check timecards to make sure they are correct, this doesn't take too long and usually there are only a few people who missed clock out or clocked in later. I generally have my management try to fix the time cards day of to minimize the amount that need to be fixed on Mondays. I also track breaks on Mondays. It's different for every state, but we have to pay them if they take less than a 20min break. This only takes about 10 minutes. As a counter service place, we have chosen to tip pool by the week so we have to calculate this manually. Toast Tips manager does not have this option yet. I have built a spread sheet that I put everyones hours into and the total tips and it spits out each persons amount. This is what takes the bulk of my time, but it still takes less than an hour. After that, I approve time cards and go into each persons pay and add their tips. This also takes a little time, but I still manage to make it all happen in under a couple of hours.
Overall I am really happy with Toast Payroll over the years. Anytime I have questions I have been able to reach customer service easily and get my issues resolved. I still bug the Tips Manager team all the time about doing weekly pools because that would give me even more time back, so hopefully they'll have that option soon. 🤞
How long does it take you guys to process payroll? How do you do your tip pool and do you have any tricks to save time?
For me, my time is whats most valuable so anything I can do to get it back I am all ears!
