How to Manage Off-Premise Orders with Orders Hub

With Toast’s Orders Hub, managing off-premise orders has never been easier! Now you can handle takeout, delivery, and curbside orders all in one place — it's like a toast to your operational efficiency! In this post, we will explore the key features of Orders Hub and how it can help you manage your restaurant's off-premise orders more efficiently.

Accessing the Orders Hub:

  • The Orders Hub is a mode on your device, accessed by selecting the Toast logo on the top left of your screen, then selecting Orders Hub.
  • You must have the 1.5 Pending Orders/Orders Hub Mode permission to access the Orders Hub.
  • The Orders Hub can be used on a non-auto-fire device, but at least one Toast POS device in the restaurant must be configured to auto-fire.

The Options on the Orders Hub screen:

  • Takeout & delivery quote times =  These times are based on the quote times set in your Takeout & Delivery page in Toast Web. The delivery quote time is used for restaurants with their own delivery drivers, while Toast Delivery Services will use the takeout time for driver pick-up.

  • New Order =  Allows you to create a new order, but only orders using dining options with behaviors set to Takeout, Curbside, or Delivery will appear in the Orders Hub. To change a dining option, select the Dining button in the Quick Order or Table Service screen, or set a default dining option for the device.
  • Switch User
  • Manage Online Orders = Allows you to turn on/off, snooze, and add delays to orders coming from your online ordering page.
  • Five Order Status Tabs = Needs approval, Scheduled, Active, Order ready, and Completed.
  • Filter Options = Allows you to view orders in four distinct ways.
  • Search Bar

Viewing Orders & Statuses:

  • Orders move among statuses and screens based on their status: Needs approval, Scheduled, Active, Order ready, and Completed.
  • A blue dot appears next to new orders to indicate that the order is unread and no action has been taken yet. Once the order is selected, the blue dot disappears. If an order has not yet been paid, it will show a red “Not Paid” icon on the order.
  • When you select an order, you can see the check number, guest name and phone number, date and time the guest placed the order, delivery status or payment status, dining option, dining behavior, tab name (if available), order due time, and firing time and date.
  • The “Needs Approval” tab displays orders that must be manually approved before they can be fulfilled.

Using On/Off Toggle with DoorDash and Uber Eats integrations:

To use the on/off toggle feature, you must have a subscription to the respective integration. Once you have access, follow these simple steps to adjust your settings:

  1. In Toast's back-end, navigate to the Takeout & Delivery section.
  2. Find the Third-Party Ordering sub-category and locate either the DoorDash or UberEats toggle. (not yet available for Grubhub)
  3. Use the toggle to turn the integration on or off.
  4. Save and publish your changes.
  5. It's that simple! Once your location is fully onboarded and live on either DoorDash or UberEats, the toggle will default to "On," and you can adjust it anytime.

*One important note* The on/off toggle in Toast's back-end will override any DoorDash or UberEats merchant portal or tablet settings. For example, if the toggle in Toast's back-end is set to "off" and the location on DoorDash or UberEats is set to "on," you will not receive orders until the toggle is switched to "on" in Toast's back-end.

FAQ

  • Orders Hub is not supported on Elo V1 devices (link attached to verify if your device is an Elo V1)
  • You need the 1.5 Pending Orders Mode and 3.29 Throttle Online Orders permissions to access the Manage Online Orders section.
  • To use Orders Hub on a non-auto-fire device, at least one Toast POS device in the restaurant must be configured to auto-fire.
  • You can update orders through the Orders Hub, but you cannot update third-party orders from our partners. Updating an order will cause reporting on Marketplace Facilitator Taxes to change. For refunds, please make sure to contact the partner directly. If a guest would like to add something to an order, please create a new order for them and take a new payment.

Question on Order hub Messaging:

we do not use KDS but online orders can message guests when order is ready by marking orders as "order ready",

however, phone in orders or orders in person for take out, even though a phone # has been added do not send message.

Please let us know what we are doing wrong or a work around

We had the exact same question years ago. If my memory serves me correctly, the toast rep who helped me at the time confirmed that " you will need KDS subscription to send order ready messages through Order Hub." We ended up getting a KDS anyway. I could be wrong but Just for your information.
