Incorrect final depsit numbers next day

I have been noticing discrepancies in our final deposit numbers at end of day.  This seems to have been going on for a long time unnoticed, but our final deposit numbers seem to be changing the day after we close everything out.  I check that every single check is closed, all servers and bartenders have completed all their shift reviews and claimed all their tips, all paid out and cash-ins are correct, and there is nothing left still incomplete.  We will finalize the deposit, enter the actual deposit into toast, double check the over/short, but then still the next day, the expected deposit changes resulting in large over/short amounts.  It doesn’t happen EVEY time, but often enough.  It can be small amounts like a few dollars to much larger amounts. I’ve checked everything and can’t find any reason behind this occurrence.

 

If anyone else has delt with this, or knows what could be causing it, please let me know.

I'm not quite following the situation here. If your draw count is correct and deposit is exactly matched, that means there is 0 change to your drawer balance.

It also depends on how your drawer is set up. Does it reset the balance daily?

Does anyone have the permission to adjust the drawer balance?

 

Its not happening with the drawers, its the expected deposit.  At end of day, everything is closed (drawers shift reviews, etc.)  our actual deposit matches our expected deposit, everything is correct, then if i look at it again 1 or more days later, the expected deposit has changed and shows our actual deposit was short.

I have never experienced this issue. It sounds like something is adjusted afterward. I would guess it's something credit card related, might be tips on cards maybe? Do you do pre-auth?

I was not thinking it through clearly. It's not credit card related because you are dealing with cash deposit. Is there a shared PIN that everyone can possible use to take orders?

Make sure you don't have any blank checks open at the end of the night.  We had an issue with empty checks that would be used on a subsequent day because the server didn't realize it was not current day.  We use Toast Tables and have a check automatically open when guests are seated, and sometimes the servers don't wait for the check to be open, so there will be an open check hanging out.  That will wreak havoc on your reports.  Maybe it's something like that?  Our managers now know to check for open blank checks at the end of the night.
