Stopping tipshare when support staff clocks out?

We're two days into Tip Management. 
So far, we're find other than a few questions we cannot get answered.  I've spent hours, two days in a row being transferred to Everyone and their Brother,  who doesn't have the presence of mind to admit they don't know toothpaste from shinola. 

1) if a busser or runner is only here for 2-3 hours, but the shift last another 3-4 hours, how do we stop the tip distribution?  They shouldn't be paid for the entire night, only for the time on the job.   This is a serious problem and hill our servers are willing to die upon.

2) when the server owes the restaurant money at the EON, we realize we collect that.  However, tip share is also collected here (normally).   I'm left with $$ in my hand.  How do I get them into the tip pool?  Or, do I ignore all that, let the server keep their money, because tip share is based on sales and already deducted behind the scenes?

Thanks for reaching out to the community, sorry to hear these questions have gone unanswered for so long. If you have a case number, I can work to get it to a specialist if the following doesnt help!
 

  1. Your tip pooling policy is to distribute tips based on the clock-in and clock-out times of employees. To do this, go to EmployeesPayroll managementTip pooling policy in Toast Web
    - Choose the appropriate tip pooling interval for your restaurant: Full Workday, Shift, or Order.
    Ensure that employees are clocked in according to the selected interval:
     - For Full Workday, employees must be clocked in within the day (considered as 24 hours beginning at 4:00 am).
     - For Shift, employees must be clocked in for at least 15 minutes during the configured shifts.
     - For Order, employees must be clocked in at the time the check is opened.
    Save your settings to apply the changes.
    "If a busser clocks out before the rest of the shift continues, they will not receive a portion of tips from checks opened after they clocked out"  meaning as long as the clock out when they leave early the tip pool will work.
  2. If a server owes the restaurant money at the end of the shift, and you have collected tip share normally, the system will handle the distribution based on the policy rules.  You can refer to the Tip Management Report - Tips Receipt section of Toast Tips Manager and Reporting to reconcile tip amounts with your employees.

Tip management was rocket science when we first started, but after a couple months I finally love it!

I found that whenever tip pool amounts seem off, I just needed to adjust %'s in 'manage your policy' until the correct amount comes out. You have to play around with it until the numbers match.
